Innotech Facilities Management Ltd (IFML) was awarded the contract to manage and deliver the hard services of the newly built BWA headquarters building. IFML had to deliver mechanical and electrical maintenance, fabric and grounds maintenance, and other specialist services.
ACE was engaged to mobilise the facilities management contract, so that the building would be operational when the building occupant was ready to move in. This meant working during the final stages of the construction process. The timescale was tight and the occupier was pushing to take up occupancy as their existing lease had been terminated.
The initial task was to gather all the asset data and then sort it into a useable format. From this, the building hierarchy was put together covering each building, floor, area, department and room. We then mapped the assets to each location.
The next task was to pull together a full annual planned maintenance schedule and to map all the assets into the schedule. From there a five year Forward Maintenance Register could be produced, which feeds into the whole lifecycle plan.
The final part of the assignment was to build a help desk reporting function, whereby faults could be recorded and monitored against the assigned KPI and monthly reports could be generated that would show if any performance deductions were due.
All the necessary documentation and systems were put in place in time and the building was able to be operationally opened and compliant with the contract requirements.
